Reading statements

Which banks are supported?

Any bank whose statement prints its opening and closing balances. Statements are read by a model from their layout, not matched to a template. A bank we have not seen is attempted and then checked like any other. The Supported Banks page lists the layouts tested so far and what each one prints.

Does it read scanned statements and photos?

Yes. A page with no text layer is sent to the model as an image, ten pages at a time. Scans read less well than text, which is why the balance check matters. A scanned statement that foots is as good as a typed one. One that does not is flagged with the difference.

What if a statement does not print balances?

It cannot be footed. It is marked "Could not foot," its rows are still read, and every export of those rows carries that note.

How are the dates handled when the statement prints no year?

The year comes from the statement period. A period that runs from December into January is handled by month order.

What about credit card statements?

They are read the same way. Purchases are negative and payments positive in the table and the exports. That is what both QuickBooks Online and Xero expect for a card account. The export panel reminds you to import a card file into a credit card account.

The balance check

What does "foots" mean?

A statement foots when its opening balance plus every row equals its closing balance, to the cent. The word is the bookkeeper's: To foot a column is to add it and prove the total.

What happens when a statement does not foot?

It is flagged with the difference in dollars and the row most likely to be wrong. The row is worked out from the difference. It may be a row that equals it, or a row that is off by a digit. It may be a section whose printed total is short. You open the row, see the page, and fix the amount or re-read the page. The flag stays on the statement until you resolve it. Its rows carry the flag into every export.

Can the check miss an error?

Yes, in two cases. Two misreads that cancel each other to the cent, and a wrong description with a right amount. Both are named on the How It Works page. The check cannot foot a statement with no printed balances.

How are duplicates found?

Two rows in the same account with the same amount, dates within three days, and matching descriptions are candidates. They are shown as a pair when they come from different statements or from a re-upload. You keep one or both. Rows inside one statement are never paired automatically. Two coffees on the same day are not a duplicate.

Exports

Which formats are there?

CSV, XLSX, the QuickBooks Online 3-column and 4-column bank files, and the Xero bank statement file. Each is validated against the destination's documented rules before download.

Why is my QuickBooks file split in two?

QuickBooks Online accepts 1,000 rows per upload and files up to 350 KB. Ledgerfoot splits at those limits and names the files in order.

Can I export one account at a time?

Yes. Each QuickBooks and Xero file is one account, because each imports into one account. The CSV and XLSX can carry every account with an Account column.

Data

What happens to the statements I upload?

They are stored encrypted at rest under your account and deleted after 30 days by default. Pro can set 7 to 90 days, or keep them until you delete them. The extracted table, the checks, and the exceptions stay while your account exists.

Who reads the pages?

A model reads them into rows. The Security page says which provider, under what terms, and what is kept. Nothing is used for training by Ledgerfoot.

Can I delete everything?

Yes. Deleting a workspace deletes its statements, rows, exceptions, rules, and exports. Deleting your account deletes every workspace and the account itself.

Paying

What is a page?

A page of the PDF. The count is shown before a batch runs, and that count is what is charged. Free pages come first, then Pro's included pages, then credits. A statement that could not be read is not charged: Its pages go back to the balance they came from.

Do credits expire?

No.

What does Founding mean?

Pro for as long as the service runs, paid once, for the first 100 bookkeepers. The count on the pricing page is the count in the database and stops at 100.

Is there a refund?

Credits that have not been used can be refunded within 30 days of purchase. Email brett@nexusmktg.com.
